Commercial Moving Packing Instructions

General Cleanup: Remove and throw out any unnecessary files, boxes, papers, supplies, etc., that will not be needed in the new location. Call 1-800-GOT-JUNK for “junk” removal.

Small to medium-sized plants, small fragile items, and other personal property are the responsibility of the employee.

Labeling: Please label ALL items with the assigned destination ROOM NUMBER (employee names are not necessary).

Label placement:

  • Boxes: May be written on with a marker, or labeled on the top right side.
  • Furniture: On the top or front where it can be seen easily.
  • Chairs: On the arms or backs.
  • Computers/electronic equipment: On an easily visible surface.
  • File cabinets: On the face of the top drawer.

Packing Contents:

  • Business Boxes: Place empty box on dolly, then pack, close lid, stack next empty box on top, pack, etc. Do not stack any higher than (5) high.
  • Cardboard Boxes: Use tape sparingly – excess tape does not make the carton any stronger. Place two strips along the seam of the top and bottom of the box.

All keys to locked items must remain in possession of employees.

Place coat hangers in packing boxes.

Remove ink and other liquid items from drawers and place in packing cartons. Be sure that caps are tightly turned to prevent any leakage. Please pack these liquid container items in an upright position. Desk pen and ink sets must be emptied.

Glassware and breakable items must be wrapped with paper toweling or newspaper to prevent breakage and packed securely in cartons. Label in BOLD these cartons containing fragile items, as contents in any boxes packed by the owner are not subject to liability claims unless obvious mishandling is determined.

Small articles such as pencils, pens, scissors, paper clips, erasers, rubber bands, etc., must be placed in sealed envelopes and then packed in cartons.

Glass desktops, desk pads, and chair mats need to be labeled the same as the desk to which they belong. If you are unsure whether one of these items needs to be emptied, hedge on the side of caution and empty & pack. If there are stairs involved with your move – EVERYTHING NEEDS TO BE EMPTIED AND PACKED UP.

Although Vertical file cabinets can be moved fully intact for most relocations, WE DO NOT COVER ANY DAMAGES THAT MAY OCCUR to the cabinet resulting from this procedure – such as buckling or bending of the cabinet. If you want to ensure your cabinets arrive safely, we recommend you unpack all drawers. If there are stairs involved, ALL DRAWERS MUST BE EMPTIED. The sliding guide at the back of each drawer should be moved tightly against the file. Please lock the file cabinets if possible. If you don't have a key, the cylinder lock on the cabinet should be taped open to prevent inadvertent locking. ALL lateral file cabinets must be unpacked for the move.

Supply cabinets must have all contents removed and packed in boxes, with the doors locked or taped shut. Place any shelves at the bottom of the cabinet.

Bookcases must have all contents removed and placed in packing cartons. Remove the shelf tabs and place them in an envelope and pack in a carton. Leave the shelves taped together, labeled, and left in the bottom of the bookcase.

Artwork is best moved by the employees themselves, unless the piece is large.

Computers/Copiers/Typewriters/Office machines/Electronic equipment:

  • Back up all computer equipment and take your backup disk(s) with you.
  • Disconnect all cables and either pack them in provided anti-static keyboard bags or tape them to your computer equipment.
  • Remove toner from laser printers and fax machines and place in a tightly sealed bag.
  • Label all equipment and accessories. Most copiers need special preparation for a move. Call your service representative to have the copier programmed for a relocation, and to make sure the moving contractor is authorized to move the unit.
  • All ink and water must be drained from machines.
